NextTerm

Your renewal sheet, filling itself in.

NextTerm emails your commercial clients a short renewal form before each policy expires, filled in with last year's answers. It sends the reminders, then hands the agent what changed. Nobody chases payroll numbers by phone.

Free during early access. No credit card. Nothing is emailed until you turn it on.

How a renewal goes with NextTerm

You import your book once from your agency management system. After that, each policy runs on its own clock, counted in days before it expires.

  1. 45 days out

    The request goes out

One email per client, even when their GL, WC and Auto renew the same month. It comes from your agency's name, and replies go to your inbox.

  2. Every 7 days

Reminders, so you don't have to

Until they answer, up to three times. If an email bounces, NextTerm stops and tells the agent to call.

  3. When they answer

    The agent gets what changed

Payroll up 34%? Two new trucks? It's at the top of the email, next to last year's numbers.

  4. By expiration

    The row turns green

Mark it renewed in one click, or add the new premium and policy number. Next year's renewal is already on the calendar.

A minute for your client. The whole picture for your agent.

Your client opens a link, not an attachment

No account, no password, no PDF to print and scan. A six-digit code goes to the email you have on file, so a forwarded link isn't enough to see their answers.

  • If nothing changed, they say so in one tap.
  • If something did, last year's answers are already there to edit.
  • Payroll reports and equipment lists upload from their phone.

Your agent reads what changed, not the whole form

The answers go straight to the client's agent, with the changes up front. Everything else is on the renewal's page, next to the documents and the notes.

  • Numbers show last year's value and the change.
  • New vehicles, drivers and equipment are listed on their own.
  • Driver license numbers and dates of birth stay masked.

Made for how agencies actually work renewals

Built by someone who works renewals at an independent agency, so the awkward cases are handled.

Already renewed? Nobody gets emailed.
If a newer policy of the same type is already on file, NextTerm records it as renewed and leaves the client alone.
Cancelled policies go to the agent, not the client
The agent gets a check-in: rewritten, win back, or lost. Cancellations found outside your management system land on a cleanup list.
Builder's Risk asks about the project
Instead of a renewal form, the client says whether the project is done or how much more time it needs, so you can ask for an extension in time.
Your lines, your questions
GL, WC, Auto, Inland Marine, Property, Bond, Umbrella and more are built in. Add the lines you sell that aren't, and write their questions yourself.
The month view looks like your sheet
Every policy expiring that month, colored the way your team already colors it, and one click exports it to Excel.
Cross-sell leads, from the form itself
Clients tick other coverage they'd like a quote on. Each one becomes a lead for their agent.
An assistant can work everyone's renewals
Give your account manager copies of every agent's renewal emails. Or keep each agent to their own clients.
Bring your book in from Excel
Import the Excel or CSV export from your management system. Importing again updates what's there instead of duplicating it.

Your clients' information stays protected

Renewal forms carry payroll, revenue and driver details. NextTerm treats them that way.

  • A code to open every form. Sent to the email on file, so links that get forwarded don't expose anything.
  • Sensitive answers encrypted. Driver license numbers and dates of birth are stored encrypted and shown masked until someone chooses to see them.
  • Private files. Uploaded documents are never at a public address, and download links expire within minutes.
  • A record of who saw what. Views of submissions, exports and team changes are kept in an activity log.
  • Each agency's data is separate. And you can limit agents to their own clients.

Questions agencies ask

Do my clients need to create an account?

No. They open the link in the email, type the code sent to the address you have on file, and answer. It works on a phone.

Does it replace my agency management system?

No. Your management system stays your system of record. NextTerm handles collecting renewal info and tracking each renewal, and you import from your system's Excel or CSV export.

Can I try it without emailing my clients?

Yes. Automation is off until you turn it on. Import your book, preview who would be emailed today, and start a few renewals by hand first.

Which lines of business does it cover?

General Liability, Workers Compensation, Commercial Auto, Inland Marine, Property, Builder's Risk, Bond, Homeowners, Umbrella, Professional and Pollution Liability. You can add the lines you sell that aren't listed, with your own questions.

What if a client won't use email?

Copy their link and text it, or record their answers by phone and move the renewal along yourself. Reminders stop either way.

Who sees the answers?

The client's agent gets them by email, and your team sees them in NextTerm. You can give an assistant copies, or limit agents to their own clients. Nobody outside your agency can see your data.

What will it cost after early access?

Simple monthly pricing per agency, announced before early access ends. Early-access agencies will hear first and won't be charged without agreeing to it.
